Social Medispa (“Social Medispa”, “we”, “us”) is a marketing agency based in Markham, Ontario, Canada, serving medical aesthetic clinics across Canada and the United States. This policy explains what personal information we collect through socialmedispa.com, why we collect it, and what you can ask us to do with it.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
Information you give us
We only collect what you choose to send us:
- Contact form. When you submit the form on our contact page we receive the name, email address, phone number and message you enter. We use it to reply to your enquiry and, if you become a client, to run the engagement.
- Newsletter signup. If you subscribe, we store your email address so we can send marketing updates. Every email includes an unsubscribe link, and you can also unsubscribe by emailing us.
- Booking a call. Our “Book A Call” links open a Google Calendar appointment page. The name, email address and any details you enter there are collected by Google on our behalf and are subject to Google’s own privacy policy as well as this one.
Information collected automatically
This website loads Google Tag Manager, which in turn loads Google Analytics. These tools set cookies and record standard analytics data such as pages viewed, time on page, approximate location derived from IP address, referring website, device type and browser. We use this to understand which pages are useful and how people find us. Google Tag Manager can also load advertising and remarketing tags; where it does, those services may set their own cookies.
Our web host and WordPress also record standard server logs and set functional cookies needed for the site to work, including a session cookie if you log in.
Cookies and how to control them
Cookies are small files stored by your browser. We use them for analytics and for basic site function. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics specifically using Google’s browser add-on. Blocking analytics cookies does not stop you using this site.
How we use your information
We use personal information to respond to enquiries, to provide and improve our services, to send marketing communications you have asked for, to measure how the website performs, and to meet legal and accounting obligations. We do not sell your personal information, and we do not share it with third parties for their own marketing.
Who we share it with
We share personal information only with service providers who help us operate, and only as far as they need it: our web host, our email and newsletter provider, Google (analytics and calendar booking), and our accounting and payment providers if you become a client. These providers may store data outside Canada, including in the United States, where it may be accessible to foreign courts and law enforcement under the laws of that country.
If you are a client, any material you give us for campaign work, including photographs, video, before and after images and patient testimonials, remains yours. We use it only to deliver the work you have engaged us for, and it is your responsibility to obtain patient consent before sending it to us.
How long we keep it
Enquiries that do not become engagements are kept for up to two years and then deleted. Client records are kept for the duration of the engagement and for seven years afterwards, which is the retention period our accounting and tax obligations require. Newsletter subscriptions are kept until you unsubscribe.
Security
The site is served over HTTPS and access to our systems is limited to people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we will notify you and the appropriate regulator if a breach creates a real risk of significant harm, as PIPEDA requires.
Your rights
You can ask us to tell you what personal information we hold about you, correct anything inaccurate, delete information we no longer need to keep, or stop sending you marketing. Email info@socialmedispa.com and we will respond within 30 days. If you are not satisfied with our response you may complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Children
This website is aimed at business owners and clinic operators. We do not knowingly collect personal information from anyone under 18. If you believe a child has sent us information, email us and we will delete it.
Changes to this policy
If we change how we handle personal information we will update this page and the date at the top. Material changes will be highlighted here.
